Copy Certification Support in Oxford, Mississippi

When an organization requests a certified or verified copy of a document, the correct process depends on the type of document, how it was created, and the requirements of the receiving agency.

Community Notary Services helps clients identify the appropriate next step, prepare qualifying document-custodian statements, and complete any acknowledgment or verification on oath that may be required.

A Mississippi notary may perform acknowledgments, administer oaths and affirmations, take verifications on oath or affirmation, and witness signatures. General certification of ordinary paper copies is not included in Mississippi’s listed notarial acts.

Understanding Copy Certification

Copy certification generally refers to confirming that a reproduced document matches an original or qualifying source record. However, the permitted procedure varies according to state law and the receiving organization’s requirements.

In Mississippi, a notary may certify a paper copy of an electronic document only in a limited situation where the notary is the custodian of that electronic document, personally prints or supervises its printing, confirms the electronic signature can be independently verified, and does not modify the document.

For other documents, an alternative may involve the document holder making a sworn or acknowledged statement that the attached copy is accurate. The notary notarizes the person’s signature or sworn statement—not the copy itself. Acceptance must be confirmed with the organization requesting the document.

Documents That May Require Copy Verification Support

Copy-related requests may involve personal, educational, business, employment, or administrative documents. The correct procedure must be confirmed before the appointment.

Suggested Document Types

    • Birth, marriage, and death certificates
    • Diplomas and academic transcripts
    • Powers of attorney and sworn statements
    • Business formation and corporate documents
    • Adoption or personal-status documents
    • Court or government-issued records
Eligibility is not determined only by the document type. The issuing authority and the organization receiving the copy may require an original, an agency-issued certified copy, or a different notarized statement.
